IT equipment

When ordering it equipment, please adhere to the following procedure:


An application for acquiring new equipment must be submitted to Helle Schroll (using this e-mail: ict-equip@cs.aau.dk), stating the reasons for replacing the equipment and your wishes regarding the type of new equipment.

Prior to placing your order for equipment, please familiarize yourself with the ITS department’s shopping catalogue here. You can also seek help from the local service desk or from Aage Sørensen.

Prior to placing an order, the employee must make a decision on which type of grant will be paying for the equipment.

 

Types of grant

Prior to placing an order, the employee must make a decision on which type of grant will be paying for the equipment:

  • Ordinary grant (The department’s operating grant will pay, e.g., right of disposal, group leader and return OH).
  • Project grants (Subject to approval by the project head).
  • Department grants (In case a separate grant has been allotted by the management, e.g., for the establishment of a laboratory).

Reception of equipment

When placing an order for equipment, ITS will inform you when and how the new equipment will be handed over to you. Standard procedure is that the handover takes place at one of ITS’ local service desks.  

Upon reception of new equipment, old equipment can/should be returned to ITS. Whatever the circumstances, all equipment is the property of AAU and must be returned when defective or no longer in use.

Please note:

  • The expected service life of a computer is 3 years. Only under special circumstances will a new computer be approved earlier than this.
  • Desktop computers are being phased out as standard equipment.
  • Office printers are being phased out – using follow-you print is recommended. This is the better solution both environmentally and financially. In extraordinary circumstances, office printers may be approved.
  • Purchasing equipment by out-of-pocket expenses, that is, outside the purchasing agreements (e.g. online, in stores, etc.) is not allowed, as ITS cannot provide support or warranty on such equipment.
  • Upon reception of new equipment that replaces existing equipment, all old equipment must be returned to ITS. Whatever the circumstances, all equipment is the property of AAU and as such must be returned when defective or no longer in use. This also applies to equipment funded by external projects.
